With more than 25 years of history in the automotive sector, Carclasse is the largest authorized Mercedes-Benz dealer and workshop in Portugal and represents the Jaguar and Land Rover brands, as well as smart. It has locations in Braga, Famalicão, Lisbon and the Algarve, among others.
The sector is facing several challenges, such as the change in the distribution model, the entry of new players, the electrification of vehicles and the adaptation of after-sales and, not least, micro-mobility.

CHALLENGE

To support its activity, Carclasse needs various information systems for a wide range of functions. DMS, Flow Management, CRM, among others.
All these systems represent very relevant sources of data, but they are difficult for decision-makers to access, mainly due to the lack of a single view of information. In addition to a significant effort on the part of the organization to create maps with key management indicators.

Solution

Vera IB developed a BI solution with a dedicated Data Warehouse, centralizing key activity indicators, making them easily accessible and automatically sourced from various channels.

The solution employs Microsoft technology, the technological foundation of Carclasse, specifically using SQL Server for the database and Power BI and Excel for data exploration.

The implementation process involved a detailed assessment of the information needs of various departments (sales, workshops, parts, financing, and finance) and an analysis of the respective data sources.

The development included creating an automatic data extraction mechanism that cleans and transforms the data according to Carclasse’s needs, making it available in intuitive and easily accessible maps and dashboards that reflect business insights.

Results

Carclasse now has maps and dashboards with the indicators it needs to manage its business on a daily basis, with no effort to update them.
The level of detail is total, allowing any indicator to have the facts that gave rise to it associated and visible (e.g. Workshop Detail, WIP, Parts Ref, Labor Code, among others).
Typical of this type of project, Carclasse took the opportunity to improve some procedures that arose from situations identified with the appearance of the various indicators.

CASE 2. TINTAUTO

Optimization of consumption (paints and related)

At the service of paints since 1965.
Tintauto is dedicated to the production and distribution of paints and accessories for various industries, particularly the automotive industry.
The market is very competitive, and factors such as the differentiation of its services can be decisive with customers.

CHALLENGE

Tintauto supplies the main car dealerships with paints and related materials for the body repair process. It was the first company in the country to offer a computerized colorimetry system, which allows any color to be formulated with the desired shade and quality, both for the automotive industry and for industry and construction.
In order to get the most out of this system, Tintauto needed to make paint and related consumptions available to its management and customers, without which it would not be possible to optimize them.

Solution

Vera IB developed a BI system that automatically provides paint and related consumption indicators for automotive clients, consolidating data from various workshops into a single database and presenting it in user-friendly dashboards.

Tintauto can now monitor paint consumption by workshop and client, identifying consumption patterns and optimization points, while workshops can assess the correct usage of paints and related products for each repair.

Vera IB applies the CRISP-DM methodology in data management projects, starting with understanding the business before analyzing the data. Initially, they comprehended the business specifics and the available data types to meet Tintauto’s information needs.

The project included creating an automatic data extraction process from the computers of various workshops, overcoming the challenge of having multiple data sources. The communication mechanism development underwent several iterations to achieve stability.

Results

It is now possible to have precise information on paint and related consumptions, identify consumption patterns, detect waste or atypical situations, make comparisons between customers, between workshops and between types of repair.
The whole relationship between Tintauto and its customers becomes “richer”, given the visibility of this data.

CASE 3. CRC

Management Indicators for Rent-a-Car

CRC is a car rental company with its headquarters and station in Lisbon, next to the airport.
It is dedicated to the Leisure and Corporate business areas, distinguishing itself by having a high quality service and a diverse fleet that is constantly being renewed.
With a strong focus on customer satisfaction, it has an experienced and dynamic team and a fleet characterized by economy, compact, SUV, luxury, minibus and convertible vehicles, among other categories.

CHALLENGE

The Rent-a-Car market is a highly competitive sector, both nationally and with international players, where the availability of supply, price management and the service provided are very dynamic and differentiating factors.
Having visibility of the main KPIs and maps with business indicators is essential for management.

Solution

VERA IB developed a BI solution that provides indicators for Reservations, Contracts, Fleet Management, and Profitability in dashboards and maps using a dedicated Data Warehouse. The difficulties of obtaining aggregated and timely information have been eliminated, with all indicators now accessible uniformly.

Vera IB uses the CRISP-DM methodology in data management projects, starting with understanding the business before analyzing the data. Initially, they understood the business specifics and identified the available data types to meet CRC’s information needs.

Data collection required understanding the data model of Rentway – the Activity Management Software used by CRC – and applying various business rules in constructing the Data Warehouse. This resulted in the analysis views requested by CRC, which now has a direct and unique way to consult all indicators.

The solution’s flexibility allowed the addition of new relevant data sources, such as customer satisfaction, linking survey results to the service context – including Vehicle Type, Rental Duration, Customer Manager, etc.

Results

Quick and easy access to critical indicators is the best way to list the advantages of the solution delivered. From here, and with the addition of new sources, CRC is able to have an unambiguous, always accessible view of its activity.
And with this, it can point to improvements in the service provided, in customer knowledge and in actions aimed at customer satisfaction.
